This policy explains what information ExamCoach AI collects as you study — practice questions, mock tests, and the AI Coach — and how Ziphoenix uses, shares, and protects it.

ExamCoach AI is built by Ziphoenix ("we," "us," "our") to help you prepare for exams through practice questions, mock tests, a study plan, and an AI-powered coach. This policy covers the App end‑to‑end — what we collect, why, who we share it with, and how you stay in control.

Subscription status and entitlements via RevenueCat and the App Store / Play Store — we never see your card number.

We do not sell data

We don't sell your personal information. You can request access to, or deletion of, your data at any time.

Overview

This Privacy Policy describes how Ziphoenix collects, uses, discloses, and safeguards information when you use the ExamCoach AI mobile application (the "App"), available on iOS and Android. By creating an account or otherwise using the App, you agree to the collection and use of information as described here.

If you don't agree with this policy, please don't use the App. If we make material changes, we'll notify you as described in Section 13.

Information we collect

We collect information in three ways: what you give us directly, what's generated as you use the App, and what's collected automatically by the App and the services it relies on.

Account & profile information

When you create an account, we collect your name, email address, and (optionally) a profile photo — supplied either directly, or by Google Sign‑In / Sign in with Apple, or by our authentication provider, Firebase Authentication. We also generate a unique account identifier to link your data across devices.

Study & usage data

To run the App's core features, we store the content you generate while studying: mock test attempts and scores, practice-mode answers, question history, study‑plan configuration and progress, and your conversations with the AI Coach. This data is stored in our database (Firestore) and syncs to your account so your progress follows you across devices.

Device & diagnostic data

We use Firebase Analytics and Firebase Crashlytics to understand how the App is used and to catch bugs before they affect more users. This includes device model, operating system version, app version, coarse usage events (e.g., which screens are opened), and crash logs with stack traces. This data is tied to an installation identifier, not your name.

Advertising identifiers

If you use the free, ad‑supported version of the App, our ad partner (Google AdMob) collects your device's advertising identifier and ad-interaction data to serve and measure ads. See Section 6 for how consent and opt‑outs work.

Purchase & subscription data

If you subscribe to a paid plan, purchase events and entitlement status are processed by RevenueCat and the Apple App Store or Google Play Store. We receive your subscription tier, status, and purchase history — never your full card number, which is handled entirely by Apple or Google.

Push notifications

If you enable notifications, we store a device push token (via Firebase Cloud Messaging, delivered through Notifee) to send you study reminders and updates. You can disable this at any time in your device settings.

Locally stored data

Some preferences and cached content are stored only on your device using AsyncStorage, to keep the App responsive offline. This local data is removed when you uninstall the App.

How we use it

  • Deliver the App's features — generate mock tests, score practice sessions, track your study plan, sync progress, and run the AI Coach.
  • Maintain your account — authenticate sign‑in, back up your data, and let you use the App across multiple devices.
  • Improve the App — diagnose crashes, understand feature usage in aggregate, and prioritize what to build next.
  • Process payments — manage subscriptions, entitlements, and renewals through the App Store, Play Store, and RevenueCat.
  • Communicate with you — send study reminders, respond to support requests, and share important service updates.
  • Serve advertising — show ads in the free tier, and measure their performance, consistent with your consent choices.
  • Meet legal obligations — comply with applicable law, enforce our terms, and protect the security of the App.

The AI Coach

The AI Coach feature sends your questions, along with relevant study context needed to answer them (such as the topic or practice question you're asking about), to our backend (Firebase Cloud Functions) for processing. Generating a response may involve passing that content to a third‑party AI service provider under contract with us, solely to produce the answer shown to you.

Please note

Don't enter sensitive personal information (such as government ID numbers, financial account details, or health information) into AI Coach conversations. It's designed for study questions, not for storing sensitive personal data.

AI Coach conversation history is stored so you can revisit past sessions, and is deleted along with your account as described in Section 8.

Advertising & tracking

The free tier of ExamCoach AI is supported by ads served through Google AdMob. On iOS, we request permission through Apple's App Tracking Transparency framework before using your device's advertising identifier for personalized ads; if you decline, you'll still see ads, just less targeted. On Android, you can reset or limit your advertising ID, and opt out of interest‑based ads, in your device's Google settings. Subscribing to a paid plan removes ads entirely.

Sharing & disclosure

We do not sell your personal information. We share information only:

  • With the service providers listed in Section 5, solely to operate the App on our behalf, under contracts that restrict their use of your data;
  • When required by law, regulation, legal process, or governmental request;
  • To protect the rights, property, or safety of Ziphoenix, our users, or the public;
  • In connection with a merger, acquisition, or sale of assets, in which case we'll notify you before your data is transferred or becomes subject to a different privacy policy;
  • With your explicit consent, for any other purpose.

Data retention

We retain account and study data for as long as your account is active, so your test history and progress remain available to you. If you delete your account, we delete your personal data and study history within 30 days, except where retention is required to comply with legal obligations, resolve disputes, or enforce our agreements. Aggregated analytics and crash diagnostics that no longer identify you may be retained longer to improve the App.

Your rights & choices

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can exercise most of these directly in the App:

  • Access & export — view your study data in‑app, or request a copy by emailing us.
  • Correction — update your name, email, or profile details from account settings.
  • Deletion — delete your account and associated data from account settings, or by emailing us.
  • Notifications — turn push notifications on or off in your device settings.
  • Advertising — manage ad tracking permissions in your device settings (Section 6), or subscribe to remove ads.

To exercise any of these rights, contact us at the email in Section 14. We'll respond within the timeframe required by applicable law.

Security

We use industry-standard safeguards to protect your information, including encryption in transit (TLS), Firebase's authentication and access‑control rules to restrict who can read or write your data, and least‑privilege access for our own team. No method of transmission or storage is 100% secure, so while we work hard to protect your data, we can't guarantee absolute security.

Children's privacy

ExamCoach AI is intended for a general audience and is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will promptly delete it.

International transfers

Our service providers, including Firebase and Google Cloud infrastructure, may process and store data in countries other than your own. Where required, we rely on appropriate safeguards — such as standard contractual clauses or equivalent mechanisms — to protect data transferred internationally.

Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we'll notify you in‑app or by email before the change takes effect, and update the "Last updated" date at the top of this page. Continuing to use the App after a change means you accept the updated policy.
